Board Meeting Minutes: July 14, 2005
Lanier, Ford, Shaver & Payne, 200 Westside Square, Suite 600, Huntsville, AL 35801
Gloria Stover, Vice-President/President Elect, convened meeting at 11:43 p.m.
Attendees: Lori King-Taylor, Nancy Hodges, Gloria Stover, John Hightower, Rhonda Williams and Debi Trumbull. Absent: Cindy Dodd and Amy Heard.
Minutes from June’s meeting were read by Gloria Stover and approved.
John Hightower submitted the cash flow report for approval.
Total Income $4161.25
Expenses $3839.93
Net $ 321.32
Two unexpected expenses were noted: The annual budget reflected only two National Memberships instead of four ($100 each), and additional funds of $201.21 were needed for the new Internet Service Provider.
The budget was reviewed and approved as submitted.
· Rhonda reported that the cost of a full-colored newsletter was prohibitive ($1,000) and she was planning on creating a 6-page letter with only three pages in color and the others in black & white. Newsletters are sent on a quarterly basis and the new one will be sent out next week. Current circulation is 178.
· The committee brainstormed ideas for increasing advertising in the newsletter to help defray production costs. It was decided that individual letters by Board Members to prospective advertisers be sent to solicit increased participation.
Membership-
· Gloria Stover presented the membership report submitted by Cindy Dodd. We currently have 28 local members and 14 local/national members for a total of 42 members. Emails were sent to four members whose memberships will expire in July.
· It was also noted that personnel changes at National have improved the communication and overall support we are now receiving.
Programs-
· The June program at Corporate University was deemed a great success. Attendance was high, and even though there were three no-shows, no money was lost on the meals.
The following schedule was tentatively approved for the remainder of the year:
· July Return on Investment- Richard Scherberger
· August Reaching the Community with Your Non-Profit Message - Mental Health Center
· September Membership Drive & Event Planning- Beverly Youngken
· October Train-the-Trainer Workshop
· November Tour of Corporate Space Camp
· December Holiday Program
· September is our membership drive. Everyone who brings a guest will receive a small gift and be eligible for a grand drawing of a $50 Barnes & Noble gift card. Members will be given one chance for each guest attending.
· Cindy and Amy will set-up and information table with membership packets available.
· Details will be finalized at the August Board Meeting.
· Surveys were emailed to the membership for suggestions on different topics and presenters. Response was low. They will be sent again as well as passed out at the July meeting.
Regional Chapter Officer Conference
· John suggested we begin thinking about a Regional Chapter Officer Conference so that we could meet and network with other chapter officers in the area. Possible timeframe was next spring.
· Lori will check when the next one is being held. It was determined that as President Elect, Gloria Stover would represent our chapter. If funds/time allows we may send two representatives.
The meeting dismissed at 12:35 p.m. The next meeting will be held at Lanier, Ford, Shaver & Payne on Thursday, August 11th at 11:30 a.m.
