Board Meeting/Board Work Session

January 6, 2004

Location: Lanier Ford Shaver & Payne PC

Attendees: M. Hubbard, L King-Taylor, J. Hightower, C. Lord, R. Asta, D. Trumbull, N. Hodges, J. Bentley.

Minutes: Minutes were mailed to participant for previous month and changes were made at that time.

Treasurer Report:

Ronda passed the treasury duty to John Hightower as incoming treasurer and provided a detailed report of all 2003 expenditures.
John Hightower led a discussion to finalize banking changes to Region’s bank for the purposes of maintaining a 2-signature requirement for chapter. Banking changeover expected to be finalized by next board meeting.
Carolyn asked Ronda to submit a report outlining the condition of the books at the beginning of 2003.
Carolyn Lord recommended using previous years budget as a starting point for the 2004 budget and amend as necessary to meet this years financial obligations.

Secretary Report:

John Bentley did not receive the minutes from Wendy Cantrell. He will contact her an obtain copies of last year meeting minutes and ensure minutes are available for future meetings.

Programs:

Program responsibilities were discussed. It was noted Ronda will set-up the meeting room and Nancy will determine the number of meals and schedule the room for the monthly general membership meetings.

January program will focus on Leadership from the definition "leadership is the ability to influence others in accomplishing a task" and our guest speaker is James Foster.

February program is set for Feb. 27^th on ROI with Ann Phillips, President and CEO of Quality Techniques, Inc. Newsletter had article about her presentation in this month’s edition. Please note this is a change to out normal fourth Tuesday and the time is 11 am - 3 pm.

Membership:

Our current local membership stands at 43 and John Hightower mailed renewal notices and updated the national database. We also had one renewal in December.
It was also recommended we obtain the # of National members who are not local members at least once a year in effort to increase our local membership.

Coordination of Newsletter Publication/ Website:

Kudos to the "team effort" to meet the newsletter challenges over the past few months.

December newsletter went out (12/11/03). Ronda will begin in her new role as

communications chair and will work with the web page and newsletter. She will

investigate the possibility that we could use Allied Photocopy for addressing

newsletters, reproduction and even bulk mailing services.

Advertising cost in the newsletter was discussed. The money received for advertising offsets the cost for printing our newsletter. The rates for advertising is as follows: full page, $65; half page, $45; quarter page, $35; and business card, $15.

Old Business:

GROUP GOAL SETTING FOR 2004:

expand membership – Increase from 43 members to 65

continue value added programs - Item deleted. After review of last years programs, it was determined we had a 50/50 mix of value added programs. We agreed this is a good format.
showcase board member talents - Ronda is adding profiles to the newsletter. Adding bios to the web page was also discussed.

consider joint session with Ron Peters from National ASTD - Open item

participate more in National ASTD conference and regional networking with other chapters - Identify events of other chapters to determine applicability.

provide fundamental financial security measures for chapter - We are on target and will lokk for other ways to raise funds.

increase membership by adding value to being a local member – look for incentives for people to consider membership - Meka and Carolyn will review surveys and identify benefits our local members identified. We will publish the results.

grow the non-profit participation in the local chapter - Combine this with increase local membership. Also provide tickets for nonprofits to attend local meetings

consider another Showcase Event – select a person to chair that effort - We all agreed it would be difficult for any board member to chair a showcase due to our duties. Three people volunteered to support the showcase if we find someone to chair the event.

add more content to website – job board, bios on new members and board, assessment of needs of our members - Item closed. We will continue to announce jobs by networking. It is to labor intensive to maintain a job board on our website.

add a mentoring/coaching function to our chapter - We will work to establish the framework for a formal program in 2005. If someone wishes to be a mentor or wants coaching let us know. We'll maintain the information and match people as necessary.
