Board Meeting/Board Work Session

December 11, 2003

Location: International Diesel Training Room

Attendees: M. Hubbard, J. Hightower, C. Lord, W. Cantrell, R. Asta, J. Bentley, G. Stover, D. Trumbull, N. Hodges. Combined board planning session for 2004.

Minutes: Minutes were mailed to participant for previous month and changes were made at that time. Meetings from this month’s general ASTD meeting will reflect nomination and election of new board for 2004.

Treasurer Report:

Ronda will pass the treasury duty to John Hightower as incoming treasurer. Discussion in January will include banking changes to Region’s bank for the purposes of maintaining a 2-signature requirement for chapter. At that time, arrangements will be made for a signature card with appropriate board members.
Permission was given for Meka Hubbard and John Hightower to write a check off existing account at Colonial to open new account with Regions Bank.

Secretary Report:

Wendy will send past year’s minutes electronically to all board members including minutes from board elections from November's meeting.

Programs:

December program will be held on Tuesday, Dec. 16^th at 11:30 a.m. at Sheraton (pending confirmation that they can accommodate us). Subject will be Training Tools Gift Exchange. All participants will be asked to bring a "training tool" of approx. $5.00 value/wrapped as a gift. Holiday music will be played and luncheon will include heavy finger foods and sweets. A "game" will be played to exchange gifts and let participants brainstorm uses for the tool as well as hear what the giver had in mind when selecting that item. Wendy volunteered to facilitate the discussion. There will also be a free lunch drawing.
January program under review. Nancy Hodges will confirm any existing plans with Brenda Knox.
February program is set for Feb. 27^th on ROI with Ann Phillips, President and CEO of Quality Techniques, Inc. Newsletter had article about her presentation in this month’s edition.

Membership:

John discussed with Gloria the need for contacting visitors, maintaining good records and sending reminder notices to local chapter members encouraging them to renew.

John will maintain the database for the time being to ensure correctness of data.

Coordination of Newsletter Publication/ Website:

Kudos to the "team effort" to meet the newsletter challenges over the past few months. December newsletter went out today (12/11/03). Ronda will begin in her new role as communications chair and will work with the webpage and newsletter. She will investigate the possibility that we could use Allied Photocopy for addressing newsletters, reproduction and even bulk mailing services. Ronda will get prices and report at the January meeting.

Banking discussions were tabled for January meeting

December meeting plans were discussed (Training Tools Gift Exchange). Meka will bring boom box and Wendy will bring holiday music cd’s

GROUP GOAL SETTING FOR 2004:

expand membership – grow by 50% in 2004
continue value added programs
add more hardcore (take-away) training applications to programs
showcase board member talents
measure success of chapter
consider oint session with Ron Peters from National ASTD
participate more in National ASTD conference and regional networking with other chapters
provide fundamental financial security measures for chapter
have board members serve as a resource to chapter
keep database current
increase membership by adding value to being a local member – look for incentives for people to consider membership
grow the non-profit participation in the local chapter
have programs planned for 3 month increments – advertise on website, newspaper, at meetings and in newsletter
consider another Showcase Event – select a person to chair that effort
add more content to website – job board, bios on new members and board, assessment of needs of our members
add a mentoring/coaching function to our chapter

Next Board Meeting:

Ø Tuesday, January 6^th at 11:30 a.m. at Lanier, Ford, Shaver and Payne. John Hightower will send directions for parking and lunch to new members.
